AI agent, chatbot, or automation?

A plain comparison of an AI agent, a chatbot and an automation, and which one fits which small business job.

Updated October 2026

An automation follows steps you set when something happens. A chatbot answers questions in a conversation. An AI agent chooses its own next steps toward a goal, within limits you set. A job with fixed steps needs an automation. A job that answers questions needs a chatbot. An agent suits varied work and needs the tightest limits.

The short answer

Pick by what the job needs. If the steps are the same every time, use an automation. If visitors ask the same questions, use a chatbot. If the work varies and spans several tools, an agent may fit, with a person approving what matters. The sections below define each one and the table compares them.

What an AI agent is

An AI agent is software that takes a goal, decides which steps to take, and uses the tools it is allowed to use to get there. You give it a goal, such as sorting a messy inbox and drafting replies. It then picks the steps itself. That freedom is the difference from a fixed automation, and it is why an agent needs clear limits and a person checking its work.

What a chatbot is

A chatbot is software that holds a conversation. A visitor types a question and the chatbot answers. A good one on a business site answers from your own documents and hands the rest to a person. A chatbot talks. It does not, by itself, run your business steps. See answers on your website for how we build one.

The difference between AI and automation

Automation follows fixed rules. When a form arrives, add a row to a sheet. AI reads and writes language and copes with messy input. It can read an email that no rule anticipated and draft a reply. Some jobs use both: the automation runs the steps and AI handles the steps that need reading or writing.

Which one fits which job

  • Same steps every time: an automation. Examples are lead follow up and appointment reminders.
  • The same questions again and again: a chatbot built on your own documents.
  • Varied work across several tools: an agent, with approval steps, once an automation or chatbot has proved too narrow.

Start with the simplest one that does the job. A simpler build is easier to test and easier to check. We build custom AI automations, and we begin with the simplest kind that fits the job. Read what we build, or AI automation for small business, explained.

Questions owners ask

Do I need an AI agent?

Not to start. A fixed rule automation or a chatbot is easier to check than an agent, and suits a job with clear steps or a set of questions. Consider an agent when a job has many varied steps across several tools, and only with limits and approval steps that you set.

Can a chatbot book appointments?

A chatbot can collect the details and pass the booking to your scheduling tool. A person stays in the loop for anything unusual. The chat talks, the scheduling tool holds the calendar, and an automation connects the two.

Where does a person stay in charge with an AI agent?

At the approval steps you choose. You set what the agent may do alone, what it must ask about first, and what it may never touch. Anything that affects money, a legal obligation or a person should come to you for a check.
