How it works

How a custom AI automation project works

A custom AI automation project has four steps: plan, build, hand off, and support. You end with a working system, your own accounts and logins, and a written guide. After a free call, if an automation fits, we send one fixed price, and you approve it before work starts. See how we quote.

The four steps

From a free call to a system you own

Each step has a plain outcome you can check.

  1. Plan

We start with a free 30 minute call by phone or video, with no obligation. Then we write down each step of the job, who touches it, and where things get dropped. After the call, if an automation fits, we send a written plan and one fixed price, and you approve both before work starts.

  2. Build

We build on the tools you already use. We test the automation on your real work before it goes live. You choose which steps run alone and which come to you first.

  3. Hand off

You get the working system, your own accounts and logins, a written guide, and a recorded walkthrough. You own what we build. It runs on your own accounts, and the logins are yours.

  4. Support

We stay available to adjust the build as your work changes. A change might be a new step, a new tool, or new wording in a message.

At the end

What you get at the end

At the end you have a working system that runs on the tools you already use. The accounts and logins are yours. A written guide explains what each step does and how to change it. A recorded walkthrough shows the system running.

We stay available to adjust the build after hand off. The jobs we build include lead follow up, booking, email, chat, and reporting.

What we ask of you

Three things from you

Work starts after both sides sign an engagement letter. Sending the contact form does not make you a client.

  • A job described

Tell us the task that repeats, in your own words. You do not need technical terms.

  • Access to your tools

We need access to the tools the automation touches, such as your inbox, your calendar, or your forms.

  • Someone who approves

Name the person on your side who approves what the automation sends.

You stay in charge

You decide what runs alone and what comes to you

You choose, step by step, which parts run on their own and which wait for you. We recommend that a person approves anything that reaches a customer or touches money. A person checks anything that affects money, a legal obligation, or another person. Read more in is AI automation safe for your business.

Example Sorting a new inquiry
  1. Starts whenA new inquiry arrivesA form or an email comes in.
  2. Sorted byWhat it asks forThe automation reads it and picks a route.
  • A clear requestA time is heldA reply goes out with the time.
  • Needs a personIt comes to you firstYou get a summary and a suggested reply.
  • Not a fitA polite reply goes outIt is filed so nothing is lost.

Examples of what a build can look like

We are a new firm. These are examples of what we can build, not work for past clients. We will not name a client, publish a testimonial, or write a case study without written permission.

Example One inquiry, followed up
  1. Starts whenAn inquiry arrivesA form or an email comes in.
  2. StepA first reply goes outThe lead hears from you right away, in your wording.
  3. StepA reminder follows if nobody answersIt goes out after the gap you set.
  4. You getThe thread comes to youThe reminders stop when the person replies, and you get a summary.
Example Inbox and scheduling assistant
  1. Starts whenA message lands in your inboxGmail or Outlook, as it does today.
  2. StepIt is sorted and summarizedBy what it asks for, with a short note on each thread.
  3. StepA draft reply is writtenIn your wording, for you to approve.
  4. You getA time on your calendarHeld once you approve the reply.
Example Sample conversation, written for this page
  1. VisitorDo you have a time on Thursday afternoon?
  2. AssistantTwo times are open on Thursday afternoon. Which one works for you?
  3. VisitorThe earlier one, please.
  4. AssistantIt is booked. A reminder will arrive the day before. If you need to change it, reply here, and a person will help.
Example Automation blueprint: one job, drawn as steps
  1. Starts whenA quote goes outTo the customer, as it does today.
  2. StepA gap passes with no answerYou set how long it is.
  3. StepA nudge goes outIn your wording, on your schedule.
  4. You getA noteThe nudges stop when the customer replies.

Each example is a design, not a result. The first is a design for lead follow up, the second for email and inbox work, the third for a website chatbot, and the fourth for quote follow up.

Questions

Questions about the process

What does a custom AI automation builder do?

A builder finds the job worth automating, builds it on your tools, hands it over, and stays available to adjust it. We start by writing down each step of the job, then build and test it on your real work. You keep the accounts, the logins, and a written guide.

What do you need from me?

A clear description of the task that repeats, access to the tools involved, and someone on your side who approves what the automation sends. We take it from there. Work starts after both sides sign an engagement letter.

What happens after the automation is built?

You get the working system, your own accounts and logins, a written guide, and a recorded walkthrough. We stay available to adjust the build as your work changes.

Can I see an example before I book a call?

The examples on this page show what we can build. They are illustrations, not work for past clients, because we are a new firm. The free call is where we look at your own work and say what we would build first.
