Quote follow up automation

Updated October 2026

Quote follow up automation sends a nudge to a customer who has not answered a quote. You set the gap and the wording. The nudge stops when the customer replies. You step in when it takes a person. The same steps can remind a customer about an unpaid invoice.

How it works

For example, a quote could move through these steps.

What the automation and a person each do for a quote
When this happensThe automation does thisA person does this
A quote goes outWaits the gap you set, then sends a follow upYou write or approve the wording once
The customer replies to a quoteStops the follow ups and tells youYou answer the customer
The customer does not answerSends the next follow up on your scheduleYou choose how many follow ups go out

You set the schedule

How often to follow up depends on your terms and on your customer. We do not quote a norm. We set the schedule with you, one step at a time, and you can change it later. A routine quote may suit an automatic nudge. A big or delicate one may suit a personal call.

Where a person stays in charge

You choose which follow ups go out on their own. We recommend that a person approves anything for a customer you do not want to upset. Anything about a dispute comes to you first.

Where it falls short

Limits for this one:

  • The automation knows only what your tools record. If a customer accepts a quote by phone and nobody records it, a follow up can still go out.
  • It cannot judge a relationship. A customer who is upset needs a call, not a reminder.
  • A nudge does not guarantee an answer, and we do not promise one.
  • It follows the schedule you set. Terms that change case by case need a person.

What we need from you

We need to know where your quotes live today, the wording you want, the schedule you prefer, and who on your side approves what goes out.

This is one of the jobs on what we build. See how a project works and how we quote, or book a free call and tell us about the job.

Questions

How do I follow up on quotes automatically?

Set a gap after the quote goes out, write a short follow up, and stop it when the customer replies. The automation sends the follow up and tells you when someone answers. A person handles the conversation.

How often should I follow up on a quote?

It depends on your terms and on your customer, so we do not quote a standard schedule. We set one with you, and you can change it. A person handles any customer who is upset.

Can the same steps remind a customer about an unpaid invoice?

Yes. The same steps can remind a customer about an unpaid invoice. You choose the wording and the timing, and a person handles any customer who needs a call.
