What we build

Automated lead follow up for small businesses

Updated October 2026

Automated lead follow up is a set of steps that answers a new inquiry as soon as it arrives, reminds the lead if nobody replies, and stops when the person does. We build it on the tools you already use. A person approves what matters, and you get a short summary of what came in.

How it works

For example, a form or an email inquiry could move through these steps.

What the automation and a person each do for a new lead
When this happensThe automation does thisA person does this
A form or an email inquiry arrivesReads it, sorts it by what it asks for, and sends a first replyYou approve the reply first, or let a clear request go out alone
The lead has not answered after a gap you setSends a reminder, up to the number you chooseYou set the gap and the number of reminders
The lead repliesStops the reminders and passes the thread to you with a summaryYou take the conversation from there
A request needs judgmentHolds it and sends you a summary with a suggested replyYou decide and reply

Where a person stays in charge

You choose, step by step, what runs alone and what comes to you first. We recommend that a person approves any reply that touches money, a legal obligation, or another person. Anything about price or a complaint comes to you first. Routine replies can go out on their own if you choose. Read more in is AI automation safe for your business.

Where it falls short

Limits for this one:

  • A fast reply helps only if the next step is ready. If nobody can take the conversation, the automation has nothing to pass it to.
  • It cannot judge a hard case. Anything unusual comes to you.
  • Reminders can annoy. We set a limit on how many go out, and they stop the moment the person replies.
  • We do not guarantee a lead figure or any other result.

What we need from you

We need a description of how a new inquiry reaches you today, access to the tools involved, such as your website form, your inbox, or your calendar, and someone on your side who approves what the automation sends.

This is one of the jobs on what we build. See how a project works and how we quote, or book a free call and tell us about the job.

Questions

How do I follow up with leads automatically?

Set a first reply that goes out when an inquiry arrives, then a reminder after a gap you choose, and stop the reminders when the lead answers. We build that on your own tools, such as your website form and your inbox. A person handles the conversation from there.

How quickly should I respond to a new lead?

The first reply is the one to automate. A person should handle the conversation after that. We do not quote a target time, because the right pace depends on your business.
