What we build

AI appointment booking and reminders

Updated October 2026

AI appointment booking and reminders let customers book, confirm, and reschedule on their own. The automation keeps your calendar current and sends a reminder before each visit. We build it on the calendar and tools you already use, and you choose which changes need your approval.

How it works

For example, a booking could move through these steps.

What the automation and a person each do for a booking
When this happensThe automation does thisA person does this
A customer asks for a timeOffers the times open on your calendar and books the one they pickYou decide which times are open and which kinds of visits can be booked
A booking is madeSends a confirmation and puts the visit on your calendarNothing, unless you want to approve each booking first
The visit is coming upSends a reminder at the time you chooseYou choose the timing and the wording
A customer wants a different timeOffers new times and updates the calendar, if you allow itYou step in when a change needs a decision
Example One booking, start to finish

  2. StepOpen times are offeredOnly times you have set as open.
  3. StepThe booking is confirmedThe customer and your calendar both get it.
  4. You getA reminder goes outIt arrives before the visit, and your calendar stays current.

After the job

After a job is done, an automation can ask the customer for a review. It asks everyone who finished a job. Review platforms discourage asking only the customers you expect to be happy, so we do not set it up that way. A person reads and answers what comes back.

Where a person stays in charge

You choose which visits can be booked without you and which come to you first. A visit that needs a custom quote comes to you first.

Where it falls short

Limits for this one:

  • It books only into times you have set as open. A calendar full of exceptions needs those rules written down first.
  • It cannot tell that a visit needs more time than usual unless you give it a rule.
  • A reminder reaches a customer. It does not make the customer come, and we do not guarantee fewer missed visits.
  • Customers can reschedule on their own only if you allow it. If you want every change to come to you, we build it that way.

What we need from you

We need your calendar tool, the kinds of visits you book and how long each takes, the times you keep open, and someone on your side who approves what goes out.

This is one of the jobs on what we build. See how a project works and how we quote, or book a free call and tell us about the job.

Questions

How do I automate appointment reminders?

Connect your calendar to a step that sends a message before each booking. You choose the timing and the wording. We build that on the calendar and the email tool you already use.

Can AI ask customers for reviews after a job?

Yes. An automation can send the request when a job is marked done. It goes to every customer who finished a job, because review platforms discourage asking only some customers. A person reads and answers what comes back.

Can customers reschedule on their own?

Yes, if you allow it. The customer picks a new time from the times you keep open, and the calendar updates. You can also have every change come to you first.
